Terms & Conditions

Personal Portrait Photography

Personal Portrait Photography services are subject to the following terms and conditions. By booking a session or shoot with Essence Photography, you are deemed to have read fully, and accepted these terms and conditions.

PHOTOGRAPHIC SERVICES
Portrait sessions can be provisionally requested from Essence Photography over the phone or via e-mail.

For sessions and shoots booked, a written confirmation will be provided, detailing session plans, locations, times, fees and delivery schedules.

Pricing is subject to change if the client's requirements change after the initial confirmation, but before commencement of work. In which case, a new confirmation will be provided.

PAYMENT
Prior to sessions/shoots commencing, full payment for the session is required. This payment confirms your session date.

CANCELLATIONS
If notice of cancellation is given less than 24 hours before the session, the client will be charged 100% of the fees.

DELIVERY OF SERVICES
Shoots and sessions are carried out at the client's home, or at an agreed outdoor location. Locations outside of a 20-mile radius of Bedford will be subject to a mileage fee. Approximately half of the session photographs will be shot in colour, and the other half in black-and-white.

FINISHED PRODUCTS
A viewing and selection gallery of the 30 best images is provided, and remains online for 30 days. Selection galleries are final - images not included in the final 30 are discarded, and there are no substitutions or colour/black-and-white conversions available. Prints and other products can be ordered after viewing the session photos, and are delivered within 28 days of full payment.

Copyright for all images is owned by Michelle Payne-Gale (Essence Photography).

LIABILITY
Essence Photography shall not be held liable for any misuse or misrepresentation of the images provided. Neither can it be held responsible for any losses to the client caused by the misuse of the finished material.

PRIVACY POLICY
Essence Photography will not display or share client images with third parties before preview, without express permission from the client. Neither will it sell, share or provide any client details provided over the phone, in person, by post or by e-mail to third parties. Please read my full Privacy Policy further down this page.

Commercial Portrait Photography

Commercial services are subject to the following terms and conditions. By booking a session or shoot with Essence Photography, you are deemed to have read fully, and accepted these terms and conditions.

PHOTOGRAPHIC SERVICES
Commercial photography services can be requested from Essence Photography over the phone or via e-mail.

For sessions and shoots booked, a written confirmation will be provided, based on client requirements, detailing shoot plans, locations, times, fees and delivery schedules.

Pricing is subject to change if the client's requirements change after the initial confirmation, but before commencement of work. In which case, a new confirmation will be provided.

PAYMENT
A 50% deposit on all commercial work is payable on booking, and reserves your session date. The balance is due on approval and order of your final image(s).

CANCELLATIONS
If notice of cancellation is given less than 24 hours before the shoot, the client will be charged 100% of the fees.

DELIVERY OF SERVICES
Shoots and sessions are carried out on the client's premises, or at an agreed location. Locations outside of a 20-mile radius of Bedford will be subject to a mileage fee.

FINISHED PRODUCTS
A viewing gallery of the finished images is provided, from which the client may select their chosen images and place an order. Images, CDs and prints are released once the balance of any fee due is paid in full. Additional prints, CDs and other products are delivered between 7 days and 28 days of payment.

Privacy Policy

OVERVIEW

In order to provide services through Essence Photography, I will ask you to provide personal and financial information for booking and confirming your session, and placing subsequent orders.

Essence Photography will not display or share client images with third parties before preview, without express permission from the client. Neither will it sell, share or provide any details provided by customers with third parties.

By accepting this Privacy Policy, you consent to my use of your basic personal information in the manner described below.

REQUIRED INFORMATION
To book your portrait session, I will ask you to provide your name, address, phone number and email address. In order to take payment for your session (at the point of booking), I will also ask you to provide credit or debit card information.

TRANSACTION INFORMATION
I retain your name, address, phone number and email address for use in confirming session details, collecting/relaying order information, invoicing (commercial clients only), guiding me as to where to conduct your session, keeping in touch, and for reference for any future orders you wish to place.

I do not retain or store your financial information. Debit and credit card details are taken and used at the point of booking, and when placing subsequent orders only.

MY INTENDED USE FOR YOUR INFORMATION
My main purpose in collecting your personal information is to;

Provide you with the requested photography service
To collect fees
To solve any issues or provide any additional support you require
To inform you about promotions, offers or new services based on your original session choice

If you send me correspondence, I may retain the information to keep records of our communications and to improve my services. However, if you wish to have your personal information removed from my records after your session and order, please contact me via any of the above contact details.

IMAGE USE AFTER YOUR PORTRAIT SESSION
After your session, I will personally process and hand-retouched your images, and upload them to an online gallery for your viewing. The URL for the gallery will be specific to you, and not accessible via standard links on the Essence Photography website.

I will not display or share your images with third parties prior to your preview without express permission from you.

There may be occasions where I wish to display your image in my portfolio, either online or offline, for use in marketing Essence Photography. I will do this, only with your express consent.

DISCLOSURE TO THIRD PARTIES
Your privacy and security is important to me, and as such Essence Photography will not pass, sell or rent any of your personal information to third parties.
